The Role

The Executive Property Manager is responsible for leading a dedicated team overseeing a diverse portfolio of approximately 400 residential units dispersed across 10–20 small apartment sites. This role coaches and develops team members, audits leasing and property management operations, oversees vendors and maintenance, works directly with property owners, and ensures strong portfolio performance. The Executive Property Manager also handles escalated resident matters, supports legal and housing requirements, and reports directly to the Regional Manager.

Team Leadership

  • Lead a dedicated team overseeing approximately 400 residential units
  • Coach the team to reach performance goals set by the Regional Manager
  • Set individual mini-goals, train team members, and provide ongoing encouragement
  • Hold staff accountable for performance and results

Audits & Operations

  • Audit tenant files, ledgers, monthly charges, collections, and application processes
  • Review and audit work completed by the property management team
  • Monitor portfolio performance and identify areas for improvement
  • Ensure administrative and operational standards are consistently maintained

Vendor & Maintenance

  • Review, approve, and submit vendor bills for payment
  • Manage vendor relationships across the assigned portfolio
  • Direct and supervise the maintenance team
  • Audit maintenance work quality and ensure properties remain well maintained

Leasing & Marketing

  • Audit marketing and leasing effectiveness to maximize portfolio performance
  • Sign all leases and support strong leasing execution
  • Monitor leasing pipelines and target occupancy rates
  • Review property marketing and leasing activity for effectiveness

Owners & Residents

  • Liaise with property owners regarding approvals, turns, budgets, and portfolio performance
  • Resolve all escalated tenant issues
  • Maintain strong communication with residents, owners, vendors, and staff
  • Attend legal or housing court hearings as required

Property Performance

  • Visit all assigned properties at least once per month
  • Ensure exterior appearance and curb appeal remain excellent
  • Monitor property turns, maintenance, budgets, and operational performance
  • Execute additional operational tasks delegated by the Regional Manager
Qualifications & Requirements
3–5+ years of multi-site residential property management experience, ideally managing scattered-site portfolios across multiple locations
AppFolio proficiency strongly preferred; experience with similar property management software acceptable
Direct experience leading, coaching, setting goals for, and supervising administrative and maintenance staff
Strong financial acumen with experience managing property budgets, auditing ledgers, approving vendor invoices, and reporting directly to property owners
Solid working knowledge of residential maintenance operations, property turns, vendor management, and curb-appeal standards
Practical knowledge of local housing laws, lease administration, tenant file auditing, and housing court or legal hearings
Demonstrated history of auditing leasing pipelines, marketing performance, and maintaining target occupancy rates
Valid Driver’s License, reliable personal vehicle, and active auto insurance for required travel across 10–20 property sites per month
